Executive Assistant

(FT or PT/Contractor based on experience and support)

Job Description

We are a busy and growing startup looking for an energetic executive assistant to help keep us running smoothly! Your primary responsibilities will be assisting the CEO, and providing additional support to the executive team as needed. To be successful in this role, you should be well-organized, dependable, have great follow-up and critical thinking skills in order to set and execute on priorities. You will contribute to the efficiency of our business by providing personalized and timely support to executive members and external partners. This is a great opportunity for someone who wants to learn the inner workings of the healthcare industry, as you will be communicating with clients and executives from across the globe in a variety of different functions.

Responsibilities may include:

  • Work closely to assist the CEO and executive team
  • Help keep CEO organized and on top of to-do lists
  • Manage CEO's email, calendar, and speaking engagements
  • Respond to and coordinate external engagement and material requests
  • Coordinate team retreats (virtual and in-person)
  • Manage travel arrangements, events and other company logistics
  • Organize and maintain records, documents and reports
  • Coordinate with advisory board and board of directors
  • Maintain professionalism and strict confidentiality with all materials, and exercise discretion when interfacing with others

Ideal candidate:

  • Has excellent attention to detail
  • Has superb organizational and time management skills
  • Has a strong ability to organize a daily workload by priorities
  • Is capable of meeting deadlines in a fast-paced, quickly changing environment
  • Has a track record of follow through and staying on top of many moving parts
  • Has a proactive approach to problem-solving with strong decision-making skills
  • Is an effective communicator, both internally and to external parties
  • Is not afraid to hold executives accountable to deliver on priorities and meed deadlines
  • Is willing to jump in wherever necessary, including drafting documents, slides, and beyond
  • Is comfortable and skilled at using Google Workspace and other project management software
  • Work experience as an Executive Assistant, Personal Assistant or similar role
  • Has familiarity with healthcare industry and working with large clients

Pre-requisites:

  • No formal degree required

  • Work experience that demonstrates the ability to stay organized and blaze through to-do lists
